A press room is a working environment, not just a headcount. We can help shortlist and coordinate a venue around your announcement, audience and production brief; a request for help does not itself hold a room or establish a supplier agreement.
Start with a usable venue brief
Give us the proposed city and date range, subject, speaker count, likely journalists and other guests, language needs, filming or remote-participation plans, and a budget envelope. Identify who can approve the room and supplier quote. A confidential interview briefing may need a quiet, modest room; a demonstration may need floor space, load-in access and power. These are different specifications even with the same guest count.
Seats, sight lines and circulation
Ask each venue for the specific room and a floor plan showing the intended press seating layout. Count seats only after allowing for the speaker table or lectern, a clear question route, camera tripods and risers, registration, a side interview position and safe movement between them. Check the view from the back row and the camera line to the speaker; a published capacity for another configuration is not a press-ready capacity. Keep a realistic margin for confirmed attendees without paying for a hall that makes a focused Q&A feel empty.
Test AV and access before signing
Specify the number and type of microphones, a clean audio output for recording or broadcast, display inputs, lighting, power at camera positions, reliable upload connectivity and a technician for setup and the session. If remote questions are in scope, rehearse the return audio and moderation handoff; do not assume the room's Wi-Fi or built-in screen solves them. Ask what equipment is included, what needs an external supplier, and when technicians may load in and strike.
Check the actual arrival route, step-free access where needed, lift and doorway suitability, accessible seating and toilets, parking or drop-off, signage and a contact who can assist a guest on arrival. Request current accessibility details from the property rather than inferring them from a marketing photograph. Confirm building entry, security or accreditation rules and permission for cameras and recording; a private venue booking does not provide access to a government press facility.
Choose for the city's travel pattern
In Delhi, compare a central-city route for local or policy desks against Aerocity access for travelling speakers. In Mumbai, the journey between a business-district venue and a west-side location can change the arrival plan. For Kolkata, compare central, Salt Lake and EM Bypass routes; for Chennai, consider Guindy versus Anna Salai alongside any Tamil-language and technical needs. In Ahmedabad, compare Ashram Road and SG Highway against the actual guest list. Bhopal may call for a compact briefing room rather than a large launch hall. These are planning questions, not claims that any venue is free on your date.
Our source-linked venue notes let you inspect independently operated properties before requesting live terms: Delhi, Mumbai, Kolkata, Chennai, Ahmedabad and Bhopal. Each guide links to the properties' own published event information; confirm all details with the supplier before use.
Compare the complete cost, not a headline room price
Ask suppliers for itemised, dated quotations covering room hire or minimum spend, seating setup, AV and technicians, bandwidth, catering, staff, security, parking, taxes, deposits, overtime, cancellation and change terms. A site visit or technical call can expose gaps in a package description. Compare quotes against the same event duration and floor plan, including setup and dismantling time. Our indicative coordination pricing is separate from venue hire, travel, catering and additional production; there is no fixed venue rate on this page.
Record comparable room, AV and cancellation quotations in the blank budget workbook rather than treating a venue listing as a current price.
From shortlist to written confirmation
We can gather requirements, compare rooms, seek supplier proposals and coordinate the selected venue within the agreed service scope. The venue or its authorised supplier must confirm the exact room, date, hours, layout, equipment, access, responsible contacts, total price and payment and cancellation terms in writing. Share invitations only after the organiser has approved the arrangement and the booking is confirmed. An enquiry, an indicative estimate or a published venue listing is not a reservation; journalist attendance and editorial coverage are never guaranteed.
Frequently asked questions
Can you book a venue for our press conference?
Yes, venue sourcing and booking coordination can be included in an agreed assignment. We compare suitable rooms and liaise with suppliers, but no venue or date is reserved by submitting an enquiry; availability, supplier terms, scope and price must be confirmed in writing before a booking is made.
How many seats should we request?
Request a layout for your expected attendees plus the space needed for cameras, registration, speakers and accessible circulation. Ask the venue for a room-specific floor plan in the intended configuration rather than relying on its maximum banquet or theatre capacity.
Does the coordination estimate include venue hire and AV?
No, the indicative PRS coordination estimate does not include venue hire or additional production. Request separate written lines for the room, sound, screens, technicians, connectivity, catering, taxes, overtime and cancellation terms before approving a total.
Are the venues in your city guides partners or available to book now?
No, the listed properties are independent research examples, not confirmed partners or live inventory. Their published facilities are a shortlist starting point; the chosen supplier must confirm current availability, accessibility, specifications and charges directly in writing.
Request a venue-coordination proposal
Send the city, possible dates, attendance range, intended format, AV needs and access requirements through the event briefing form. We will discuss the shortlist and provide a written scope and supplier-cost approach before anything is confirmed.
