Scope agreed in writing. People at every step.

Press conference production is the work that lets reporters hear, see and verify an announcement. The right setup depends on the story and the journalists who need access, not a generic stage package.

Room and access

Ask the venue for a press layout, not just a banquet capacity. Walk the accessible route from entrance to registration and interview area; mark camera risers, sightlines, lighting, power points, speaker seating and safe cable runs. Confirm the room, duration, setup and cancellation terms in writing. See venue selection and Ahmedabad or Chennai venue checks.

Sound and recording

Test every speaker microphone, the feed supplied to cameras and remote participants, the recording level and a backup microphone. A stream with poor sound is not useful access. Agree who owns the recording, what may be shared, and whether journalists can film. Rehearse the actual presentation and question hand-off.

Online or hybrid access

Send a tested link with time zone and an access contact. Have a moderator watch remote questions, a secondary connection for the host and an approved written release if the stream fails. PRS can scope staff-arranged remote access; the self-service virtual press room remains a concept demo, not an operational live broadcast.

Press kit and follow-up

Prepare a verified release, fact sheet, speaker titles, rights-cleared visuals and a person authorised to answer corrections. Track technical faults separately from RSVPs, actual attendance and published coverage. Compare production line items using the cost worksheet; none of these items guarantees media coverage.
