Embassy Diplomatic Press Conference Services

Embassy diplomatic press conference services: plan host-approved protocol, controlled access, international-desk invitations, bilingual materials and confirmed interpretation for a diplomatic briefing.

A diplomatic press briefing needs a clear approval chain before it needs a guest list. We can help plan the event and coordinate media-facing work against the host mission’s instructions; the host retains authority over protocol, security, invitations and access.

01 / The approach

Agree the purpose and approval chain first

Start with the announcement, the authorised spokesperson, intended audiences, city, proposed date and whether the briefing is on mission premises or at an external venue. Name a host decision-maker for the agenda, titles and forms of address, flag or backdrop use, seating order, photographs, quotations and release time. We draft a run-of-show and an approvals list so that press materials, speaking notes and questions are checked before distribution. Protocol varies by mission and occasion; we follow the host’s approved instructions rather than assuming a universal rule.

02 / The approach

Keep security and access under host control

The host sets eligibility, accreditation requirements, identification checks, entry windows, escort rules, camera permissions and any restrictions on recording or live transmission. Our role, when authorised, is to communicate those requirements, track responses and reconcile the approved list with the host’s point of contact. Share personal details only through the host-approved process and do not circulate sensitive lists more widely than needed. Neither an invitation nor coordination by our team confers diplomatic privileges, official accreditation, security clearance or a right of entry.

03 / The approach

Invite the right international and local desks

Build a targeted list around the subject: diplomatic and foreign-affairs desks, relevant international correspondents, specialist trade or policy reporters, local newsrooms and language desks where appropriate. Agree with the host which outlets may be contacted, what can be said before publication, whether an embargo applies and who answers requests for interviews. Send only approved invitations with the time zone, arrival procedure, language of the session, RSVP deadline and a contact for access questions. Record replies and changes without treating an RSVP as a security clearance or a promise of attendance.

04 / The approach

Prepare briefings journalists can verify

Scope a press release, background note, speaker names and titles, fact sheet, approved quotations and a concise Q&A for likely questions. Where two languages are needed, identify the source version, arrange a qualified language review within the agreed scope and obtain host sign-off on both versions before release. Mark each version and its release time; do not publish an unapproved translation, attribution or diplomatic position. A pre-brief for speakers and the media liaison should cover the approved lines, question handoffs, off-limits logistics and how corrections will be issued.

05 / The approach

Confirm language support, do not assume it

If the event needs consecutive or simultaneous interpretation, specify language pair, format, duration, technical setup and who approves the provider. We can help source a human interpreter for the agreed brief only after availability, qualifications, confidentiality arrangements, equipment and costs have been confirmed in writing. Interpretation is not automatically included in an event enquiry. Live machine translation, automatic captions and an interpretation platform are not current products; see the Trust Center for platform status.

06 / The approach

Run a controlled event and close the record

Before the day, rehearse the speakers’ sequence, interpretation handoffs if confirmed, media check-in and who has authority to pause or amend the programme. On site, coordinate the host-approved check-in and distribute only the approved press kit at the agreed time. Afterward, provide the host with the invitation and attendance record for the engagement, the version of materials distributed and any follow-up requests to answer. Security decisions, access permissions and editorial publication remain outside our control; the exact services and supplier costs are agreed in a written proposal.

Frequently asked questions

Who approves an embassy or diplomatic press conference invitation?

The host mission or authorised organiser approves the guest list, invitation wording and release timing. We can prepare and track invitations within an agreed brief, but cannot invite guests on behalf of a mission without its approval or grant access to its premises.

Can you arrange diplomatic accreditation or security clearance?

No, accreditation, identity checks and entry decisions remain with the host and its security team. We can collect the information the host requests through an agreed process and communicate its instructions, but our invitation is not a credential or a promise of entry.

Can you supply bilingual press materials and interpretation?

Bilingual materials can be scoped for drafting, review and host approval before distribution. Human interpretation is included only if the language pair, qualified provider, availability, equipment and cost are confirmed in writing; live machine translation and automated interpretation are not offered as a current product.

Will international journalists attend or cover the briefing?

No attendance or coverage is guaranteed. We can identify relevant international, foreign-language and local desks, send host-approved invitations and follow up, while each journalist and publisher makes its own editorial decision.

08 / The approach

Request a diplomatic briefing proposal

Send the proposed city and date range, subject, host approval contact, audience, venue type, language needs and any access restrictions through the event briefing form. We will discuss a written scope before invitations, suppliers or a venue are confirmed. You can also compare our press conference management and media outreach services.
