Your information

Privacy Policy

This policy covers the current Press Conference website, including its strategic briefing form, journalist portal, and the PressConference plugin for ChatGPT. The site is operated for PRS International Group of Companies. Here is what happens to information you share with us.

Journalist accounts and professional review

When journalist registration is opened, Google Firebase Authentication provides sign-in and shares the account email and identity token with us. We store the professional details and references you submit, your application status, review history, and the communication and visibility choices you save. Email control does not establish professional verification. PRS reviewers decide applications independently. Private account pages do not run our optional analytics or session recording tools. Future invitations and profile discovery require separate opt-in choices and are not active in this portal.

If professional evidence uploads are opened, PDF, JPG and PNG files are stored privately and scanned for malware before an authorized reviewer can download them. We do not request government identity documents. Uploaded evidence is scheduled for deletion 90 days after a final verification decision, or after 365 days if an application remains open. Account and review records are handled separately. Ask feedback@pressconference.co.in for access, correction, or deletion; we will confirm your identity before acting.

AI enquiry assistant

The assistant offers service guidance using Google Gemini. Questions sent to AI are processed by Google; please do not include personal or confidential information. We use the free Gemini API tier. Google may use AI questions and responses to improve its products and may retain them under its service terms. Completed event details are automatically shared with our team and stored separately from quote requests for up to 180 days. If you ask to contact the team earlier, the event details you have provided are saved at that point. Optional contact details are added to the same enquiry and are not sent to the AI. Recent non-contact messages and event requirements provide AI conversation context. Full transcripts and abandoned, unfinished enquiries are not stored. WhatsApp opens an editable message that you must send yourself. Contact us to request deletion of a saved enquiry.

Enquiries made through ChatGPT

PressConference offers a plugin for ChatGPT. If you choose to use it, you type your event details in the ChatGPT conversation. Your details are then sent by ChatGPT to us through our plugin so that our team can respond. We receive only the details you choose to send us in that conversation.

We do not receive, store or have access to your ChatGPT account email address, your profile, your other conversations, or the wider content of your conversation with ChatGPT. We do not import anything from your ChatGPT account. OpenAI processes your conversation under its own privacy terms, which are separate from this policy.

The plugin shows you the exact enquiry we would store and asks you to tick a consent box before anything is saved. Preparing your enquiry sends the details you have entered to our servers so that they can be validated and an estimate prepared. That information is processed in working memory only: it is not written to our customer enquiry database and is not added to an enquiry record. The short-lived preparation token we issue contains only a reference number and a one-way hash of your details, not the details themselves, and expires within about fifteen minutes. Our server request logs record the time, the request and the response status for security and troubleshooting, and do not record the contents of your enquiry. If you do not tick the box, or you do not select Submit, no enquiry record is created. When you do submit, we record your name, any contact details you gave, the event details you described, the indicative estimate shown, the time of submission, and a reference number. We also record that the enquiry arrived through ChatGPT so our staff can tell where it came from.

Indicative estimates, availability and timing shown by the plugin are estimates only. Submitting an enquiry through ChatGPT is not a booking, a confirmed quotation, or a promise of media coverage. A member of our team must confirm scope, price and availability in writing.

What a briefing collects

The briefing form asks for your name, email address, organisation and event type, city, preferred service speed and tier, currency, and a written brief. A telephone number is optional. Please include only information you are authorised to share, especially when describing a client or an announcement that has not been made public.

When the form is submitted, we also record its submission time, a reference number, the estimated quote shown for your selections, your IP address and your browser’s user agent. The website processes connection details needed to deliver pages and protect the service from abuse.

How we use it

We use a briefing to understand your requirements, respond to your enquiry, prepare a proposal where appropriate and manage follow-up. A saved briefing can be viewed and its status updated by authorised staff. Sending a briefing starts a discussion; it does not itself book an event.

We use a ChatGPT enquiry for the same purposes: to understand your requirements, respond, prepare a proposal where appropriate, and manage follow-up. If you tick the consent box and submit, we contact you about that enquiry. You can withdraw consent at any time by emailing us; withdrawing consent does not remove our need to keep a record of enquiries we already hold, but we will stop contacting you and will delete or anonymise the enquiry on request.

We may also review enquiry feedback to understand customer needs and improve the service.

Who processes the information

Briefings are stored in the site’s database. The configured business notification inboxes receive copies through our mail provider so the team can respond. Our hosting, database and mail providers process the information needed to operate these services. We do not disclose your personal information to third parties for their own marketing without your explicit consent.

Optional analytics

If you choose “Accept All,” the site records first-party analytics such as page paths and interactions with site features. Those records include a temporary session identifier and IP address; a successful briefing event may include its reference number. We use this information to understand how the site is used. Choosing “Essential Only” prevents these optional site events.

With “Accept All,” Google Analytics also measures visits on the public site using first-party cookies. The tag sends the page address without its query string or fragment. We do not send your written briefing or form fields to Google Analytics. Advertising signals and ad personalisation are disabled in our tag settings. Microsoft Clarity also measures public page interactions and session recordings after Accept All. The enquiry form and confirmation are masked. Clarity does not start on URLs containing query strings or fragments. Neither tracker runs on the admin dashboard.

Your choice is saved in this browser and can be changed through Cookie settings in the footer. See the Cookie Policy for the storage involved and what happens when you withdraw consent.

Security and retention

We restrict briefing access to authorised staff and use technical safeguards to reduce unauthorised access or misuse. Enquiries are retained for service follow-up and operational records; the current system does not apply an automatic deletion period to every enquiry. You can contact us about a specific record using the reference shown after submission.

An enquiry saved through ChatGPT is treated as a live lead and is not automatically deleted. Website assistant drafts that were never completed are removed after 180 days. The review card shown in ChatGPT keeps your details in your browser only while it is open, does not store them on your device, and starts again empty if you reload it. To delete a ChatGPT enquiry, email us with its reference.

Access, corrections and deletion

To ask about information associated with your enquiry, or request access, correction or deletion, write to feedback@pressconference.co.in. Include the reference number if you have it. We may need to confirm your identity before acting on a request. Please do not send passwords or identity documents in an initial email.
